Record Your Screen, Get Numbered Step Notes

Step recorder records your screen once, as a single continuous video, then AI turns that recording into numbered step notes you can share. Press record, walk through the process the way you normally would, and stop when you are done.

13,164 training and process recordings were made on ScreenApp in the last 90 days. Instead of a screenshot for every click, ScreenApp reviews the finished recording and writes out what happened as a sequence of steps split into chapters, because AI reads video frames, not just the audio. Ask the AI a question about a step and it points you to the moment in the recording.

One continuous recording

Nothing is missed between clicks.

Chapters

chapters with timestamps, generated from the recording.

Questions about any step

AI chat with any recording, pointing to the moment.

Share or download

Through team workspaces and share links, or step notes as PDF, Word, PowerPoint, Markdown or plain text.

How Step Recorder Works

  1. Start recording: Open the ScreenApp screen recorder and press record. It captures your screen as one continuous video, not a screenshot per click.
  2. Walk through the process: Perform the task the way you would show a colleague. Narrating what you are doing out loud gives the AI more to work with when it writes the steps.
  3. Read the step notes: A few minutes after you stop, ScreenApp turns the recording into numbered steps with chapters. Ask a question about any step, or share the recording with a link.

Step quality depends on what the recording shows and says. A clear screen with a spoken explanation produces more complete steps than a silent recording of a fast, cluttered workflow. See how we measure accuracy.

Tip

Record steps that read well later

1

Narrate as you go

The AI reads the screen and what you say.

2

Pause after each click

Let the result show before the next step.

3

Stop at the end

One process per recording keeps chapters clean.

Free plan: 2 transcriptions of recordings up to 45 minutes each, with the AI step notes included.

Video First, Not Screenshot Per Click

Classic step recorders

A screenshot per click

Microsoft Steps Recorder and Snagit capture a screenshot on each click, which misses anything between clicks.

ScreenApp

Continuous video

It records the whole process as video, then the AI writes the steps from that recording.

What It Can and Cannot Do

Good at

  • Recording the whole process as video
  • AI step notes with chapters
  • Questions about any step
  • Working in the browser on Mac and Windows

Not built for

  • A screenshot per click: it records video instead
  • Silent, fast recordings: narration makes better notes
  • Free transcript downloads: they are on paid plans
  • A finished document with no review: check the notes

  • vs Microsoft Steps Recorder: Microsoft deprecated Steps Recorder (psr.exe) in Windows 11 as of February 2024 and points users to the Snipping Tool, Xbox Game Bar, or Clipchamp instead. ScreenApp works in the browser or its apps and is not tied to one operating system’s screenshot tool.
  • vs Snagit: Snagit’s AI Step Capture feature also turns clicks into a guide, but it is a $39 a year subscription after a 15-day trial with no ongoing free plan. ScreenApp’s free plan includes 2 transcriptions of recordings up to 45 minutes each with the AI step notes included.
  • vs Scribe: Scribe’s free Basic plan is shareable with link & embed, and its Pro Team plan is $13 a month billed annually with a 5 seat minimum. ScreenApp records the whole screen as video first, then writes the steps from that recording.

FAQ

What is a step recorder?

A step recorder captures your screen so you can document a process without writing it up from scratch afterward. ScreenApp's version records your screen as a continuous video, then AI turns that recording into numbered step notes with chapters.

Does ScreenApp take a screenshot of every click?

No. ScreenApp records continuous video rather than a screenshot per click. The AI reviews the finished recording, because AI reads video frames, not just the audio, and writes the steps out afterward. Tools built around a screenshot-per-click model include Microsoft's now-deprecated Steps Recorder and Snagit's AI Step Capture.

Is Microsoft's Steps Recorder still available?

Microsoft deprecated Steps Recorder (psr.exe) in Windows 11 as of February 2024 and now points users to the Snipping Tool, Xbox Game Bar, or Clipchamp. It still works on Windows versions from before that update.

Is step recorder free?

Yes. ScreenApp's free plan includes 2 transcriptions of recordings up to 45 minutes each, with the AI step notes and AI chat on each one. Paid plans start at $19 a month billed annually.

Can I share the finished step notes?

Yes, through team workspaces and share links. You can also download the step notes as a document, as PDF, Word, PowerPoint, Markdown or plain text, free. Transcript exports (PDF, DOCX, TXT, SRT and VTT) are on paid plans.

What's the difference between a step recorder and a screen recorder?

They use the same recording. ScreenApp's screen recorder captures the continuous video; the step notes are what the AI writes from that recording afterward, split into chapters with a chat you can ask questions in.

How do I get better step descriptions from a recording?

Narrate what you are doing while you record. ScreenApp's AI reads both the video frames and any spoken audio, so a recording with a spoken explanation produces more complete step notes than a silent one. See how we measure accuracy.

Does step recorder work on Mac and Windows?

Yes. ScreenApp's screen recorder works in the browser, so it works on any operating system that runs a modern browser, in addition to its apps.
